Most businesses report that stock management, workshop information and records, retail point of sale are the priorities for information management. Entimex software meets this demand with a range of features and functions not offered in “off the shelf” solutions.

The Auto and Motorcycle industry requires specialist facilities to deal with the overwhelming volume of parts and stock volumes. The goal is to consolidate various sources of information such as purchase orders, used or parts wrecking stock, new stock, price-file importing, workshop information, customer pricing structures, product segregation, invoices, reporting and retail sales into one integrated system.

Specialised functions:

Entimex software is customised to suit business needs as required. Details of functions and facilities that can be included are:

Stock search:

The ability of a system to provide fast and timely detail of an item of stock is critical to the operational quality and subsequent customer service quality. Entimex understands that packages available today do not meet the speed requirements for searching and displaying stock details. Our system can handle a search for a part by part no or description, even if partially typed in under 2 seconds (dependant usually on your hardware).

Bar code facility:

Bar code labels can be attached either by wire ties, plastic thread or self-adhesive. Bar codes can be imported directly from supplier price files and for those suppliers who do not provide them Entimex Networks generates them based on the part number.

Supplier order processing:

On receipt of goods, system will automatically allocate goods to customer orders and enable you to print bar codes that contain product and customer details. This makes the customer order processing automated and efficient.

Customer order processing:

Supplier purchase orders are automatically raised when customer places parts on order. This process can be manually controlled as well allowing top of minimum stock levels at the same time.

Entry of stock items is greatly improved by the ability of the Entimex system to first search for an item in a timely and efficient manner by utilising the bar code system or text based searches before it is introduced to stock as a “new item”.

Digital imaging (optional):

An option for utilising digital photography to build a library of parts images to assist in the identification of stock items by sight can also be installed upon request.

Workshop functions and administration:

Entimex will install the workshop administration system to suit the requirements of your business.

This module will include, but is not exclusive to, an interface through which workshop staff can enter details of repairs and activity associated with each customer and vehicle. Elements of these records include year, make, model, serial numbers, work to be performed, work completed, notes, parts used (to come from stock), other service information as required and defined during the design process.

The workshop terminal interface will be altered to suit the use of touch screens should the requirement arise in the future. This will provide ease of use for tradesman and hence improve the efficiency operation.

Detail of service requirements will also be made available to workshop staff as a “work order”, or “service order”.

Service history will be retained for the life of the system and be fully searchable to retrieve details of either the customer, vehicle or details of the service.

Service reminders:

Automatic reminders to staff with contact details of customer so he could be notified. There is also option of SMS reminders to customers reminding them of their next service date.

Parts-file imports:

A facility is available where price files can be loaded into the system directly from OPE price files or from Excel spreadsheets. This is very useful especially with motorcycle accessories.

This facility allows adjusting the margins based on the new purchase prices. For example it allows you to either increase margins based on a category of products or based on price range or simply adjust the sell prices based on the new cost prices. This allows your system to respond to supplier price changes quicker allowing more profit for stock on hand.

Quoting:

Quotes can be prepared in much the same as an invoice. Quotes can be automatically converted to invoices and if items are not in stock, they will be placed on order automatically. This will save time having to check each item one by one to see if it is in stock.
